Productivity - Creating a Productive Work Environment

Many people are incredibly unproductive when working. Why is this? The main reason is because people do not "work" when they "work." What I mean is that just sitting in your office or place of work doesn't mean you are working, anymore than sitting in a garage makes you a car. Most people let constant interruptions and annoyances steal time from them throughout the day.

Whether it is the phone ringing, emails popping up every second, someone coming into your office, or something else, every interruption steals your time and makes you less productive. Depending on different studies and research it is shown that when a person is fully engaged and working on something it takes minutes, up to sometimes 20 minutes, for someone to be re-engaged in the project after being interrupted.

The brain really works best when it can work on a project and is not constantly being hammered with outside information or interruptions from everywhere. Yet people, all the time, do not setup an environment to where they can be extremely productive.

Here are some things I do that really help me. I do not have my email system open to read incoming emails. Emails have a daily time to which they are read, processed, and then replied to or deleted. I do this twice a day.

Phone calls, unless scheduled in advance, are normally not taken. There are some exceptions to this, of course, but I also budget in time for phone calls throughout the day.

Now, your business may be a bit different, but there are things you can do and strategies you can adapt to make sure you are utilizing your time effectively. I have weekly items I need to focus on and get done, and daily items that I get done every day. Make a list of the daily items you need to get done, and then the weekly items.

It is like going to the grocery store or brushing your teeth. The more systematized you get, the more success you will have. The other strategies I utilize are time blocking. For example, billing and paying bills has its own time and day on the calendar marked out. Education, writing, reading, returning calls, processing mail, sending mail, emails, and every thing else also have time set aside for them. This allows me to be much more productive instead of jumping from item to item.

Lastly, I am constantly working on my office. I am putting up pictures, quotes, getting the lighting right, the temperature right and more so I can be in the best mood possible. The better mood you are in while in your office, the more productive you can be. If you have a boring atmosphere you may find yourself falling asleep or have difficulty concentrating. Or if you use the wrong color you may be setting yourself up for failure. For example, did you know that different colors in your environment can stimulate creativity or cause more depression? Being aware of these factors can go a long ways in setting up the best work environment for yourself.

Why make it hard on yourself? You need motivation, inspiration, discipline, creativity, and good work habits to succeed. I want to give myself the best environment and best chance of success. If you implement the above, I can assure you that you will find success and be more productive. And as the phone rings I let it go to voice mail this time.:)
